
The Club Secretary is an honorary role within the club and is elected at the AGM during the summer. The club is looking for people interested in taking on the role as Club Secretary, so please get in touch.
An outline of the role is:
Role Outline
1. The Club Secretary is a senior role involving the governance and management of Club, working closely with the President, Chairman and Executive Officers.
2. The Club Secretary is an elected role, appointed at the Annual General Meeting (AGM). A candidate can be co-opted into the role where a vacancy exists in-between AGM’S.
3. The Club Secretary is the main link between the Club, its Executive Committee and external stakeholders.
4. The Club Secretary is the Principal Administration Officer and is responsible for managing general correspondence and allocating incoming material for action.
5. The Club Secretary is responsible for organising and minuting the monthly Executive Committee Meetings.
Role Requirements
6. The post holder should have good all-round communication skills.
7. Be computer literate and have access to e-mail.
8. Is able to attend monthly Committee Meetings and dedicate around 2 hours a week to the role (in dealing with correspondence).
9. Support the monthly Executive Committee Meetings by preparing a simple agenda and taking brief minutes of the key points of discussion and required actions.
10. Assist in organising and coordinating the Executive Committee.
11. Manage the Club diary with meetings and events in liaison with the Clubs caterers.
12. Provide the first point of contact for outsiders whether individuals or organisations.
13. Circulate all communications from Yorkshire RFU and the Rugby Football Union.
14. Send out formal correspondence on behalf of the Executive Committee.
Reporting
15. The Club Secretary reports to and is answerable to the Club Chairman.
